1. Next up, locate the “Initiative options” button in the top right, next to the initiative’s name. Unfold the button and select the “Invite guest” option:

   

2. Continue by filling out the first name, last name and e-mail address of the guest:

   

3. Add a message below, which will be shown in the invitation message sent to the guest:

   

4. Select which involvement level, that you wish for the guest to have:

   

   • For ”View” level:
     • Guest can view all items in the initiative
     • Guest will be notified in the system about feedback and date changes on initiative and milestones
     • Guest will be notified with email about feedback and date changes on initiative and milestones

• • For ”Collaborate” level:
    • You can assign actions to the guest
    • You can assign milestones to the guest
    • Guest can give feedback to milestones
    • Guest can create actions aligned and unaligned actions
    • Guest can assign actions to users involved in the initiative
    • Guest can comment on initiative
    • Guest can attach files

A guest that has been removed from all shared initiatives, will keep the user inside your account to keep unaligned actions. You can always delete guests from the “Guest list”.

This is what a guest cannot do:

• A guest cannot be responsible for an initiative and hence
  • A guest cannot give feedback to an initiative
  • A guest cannot create milestones

With the introduction of the the priority list you can easily visualize what you are working on at any given time. From an employee perspective you are then able to give your immediate manager the opportunity to acquire an overview of what you’re working on, without having to disrupt your focus. As a bonus you are able to refresh your memory on what you were doing, e.g. when you left the office the day before or prior to your vacation.

You do this by adjusting the order of your priorities by pulling them up and down (click and hold action, proceed to pull up/down) . The activity you place as number 1 (top of the list) should always be the one you are working on at any given time.

Creator

The CREATOR is the person creating the initiative. The reason for having this role is because in some cases the creator is different from the owner and responsible, e.g. if a Personal Assistant creates the initiative on behalf of her manager and delegates to a third party.

Owner

The person requesting an initiative/deliverable is the OWNER. The owner is overall responsible for the initiative but is neither driving the progress nor updating the initiative. That is the role of the responsible.

Responsible

The person that will drive and update the initiative is the RESPONSIBLE. If a person creates an initiative and assigns it to oneself, that person will both be creator, owner and responsible.

In ActionPlanner there can be only one responsible for each initiative. So, if you are truly co-responsible with another person, you will need the supporter role.

Supporter*

The SUPPORTER on an initiative has the same authorities to make changes and updates as the responsible. So, if you are truly co-operating on an initiative, you can invite one or more people to support any initiative.

We also see the supporter role used in case of the initiative editing and updating being delegated to an assistant or support function, e.g. PA’s updating on behalf of their managers.

Metaphorically, a Roadmap is a map showing the roads to reach a desired destination.

The roadmap is structured in one “high way” (the Roadmap name) that have one or more “main roads” (Objectives) connected to each high way. In turn each main road has one or several local roads (Initiatives) connected to the main road. Local roads have crossroads governed by traffic lights (Milestones). Finally, hundreds of pathways (Actions) are aligned to the local roads.

As companies can have a lot of ambitions, this framework of hierarchy offered by ActionPlanner: Roadmap, Objectives, Initiatives, Milestones and Actions, help companies structure the company goals in a logical hierarchy of activities linked into our operational work.

    1.   Park the initiative

1. To save an initiative as a draft (park initiative), start by going to the detail page of the initiative.
2. Proceed to unfold the INITIATIVE OPTIONS in the upper right hand corner, next to the GIVE FEEDBACK button;
3. Click the option section “Other options” and select the option “Park initiative”;

    2.   Push it ahead in time

When pushing the initiative ahead in time, the initiative will keep its visibility, thus any users involved with the initiative will be able to see it in the overview reports.

If you push your initiative ahead in time, we recommend a time interval of 3-6 months.

What to choose?

Whether you choose one or the other depends on the visibility that you require. This means that if you need the initiative to be visible to others than yourself, you need to push it ahead in time. If it is okay that it is only visible for you, park the initiative.

To locate the description on a given initiative, start by going to the detail page of the initiative.

Scroll down to the second section “Execution plan” and click the FILTERS option placed below the timeline on the right;

Once clicked, turn ON the “Show completed” function and unfold the dropdown. Proceed by choosing your time range and finalise by saving your filter;

If you wish to turn off the completed items once again, simply return to the FILTERS in your “Execution plan”, click OFF in the “Show completed” options.

The same should be followed using the FILTERS on “My overview”.

In ActionPlanner all reporting is manifested visually to help create a visual roadmap of the performance, and it all happens in real-time.

1. Log in to your ActionPlanner account (e.g. https://solo.actionplanner.com if you are using a SOLO account)
2. Hover your mouse on your profile picture in the upper right corner;

   

3. Click “Settings” and select “Compressed email settings”

   

4. Select the option “NONE” and click SAVE;

   

The compressed emails are now turned off. Note that the system will no longer remind you on email if any activity is coming up/is due in the system.

With ActionPlanner, keeping track of all the things you should have done is no longer in the future but present.

The outstanding items will be shown as a number in the outstanding box in the top right part of the screen. If you hover the “Outstandings” button, you will see a full list of the outstanding items.

When you are compliant with everything that you have promised, you will be free of “Outstandings” and get a big green check mark.
